Attendance Management oEnter the new joinee details in the attendance system and assign the required attributes such as shift time, location etc for recording the daily attendance oDownload/Process the attendance data on daily basis for the previous day to ensure the proper attendance is recorded in the system oReport any glitch/error in the system to the IT department and get it resolved on priority oEnsure the physical records of attendance is maintained as per the compliance for employees who's attendance is not been recorded in the system due to any concern.
oCommunicate to employees and their respective Reporting Managers regarding proper recording of attendance, applying leave and approval on weekly basis oBased on the monthly data downloaded prepare attendance report for payroll preparation as statutory compliance oCo-ordinate with Vendor/IT team regarding administration to upkeep the attendance related instruments and software and shall be responsible for proper working of it Payroll Management oRecord and maintain necessary credentials in payroll system for new joinees as well as existing employees oExecute the payroll as per the timeline, process and compliance for computation accurate amount oCo-ordinate for collection of employee income tax related declarations & documents as per the timeline and acts.
oProcess the final settlement of employees as per the proof & clearance received oMaintain the records as per the statutory compliances, Audit purpose and SOP/Policy oMaintain the payroll software in working condition and co-ordinate with Vendor/IT team for the same Documentation & Files Management oPrepare and issue Offer, Appointment & Confirmation letters oPrepare and maintain the physical documents file for every employee as well function/process.
oDocument all the necessary actions during the employee lifecycle and file for the records oReview the employee personnel files on quarterly basis and ensure the all the documents are filed properly Statutory Compliances oProcess the compensations as per labour Act compliances eg PF, ESIC, Minimum Wages, LWF, etc.
oMake timely remittance/payment to concerned labour authorities before timeline oPrepare and maintain records in the necessary formats as per the labour acts oInteracting with compliance officers during their visits and submitting the required data, reports and documents as per the request oVisiting the labour offices (PF, ESIC, LWF etc) as and when required in regards to managing the compliances related issues.
Leave Management oMaintain the employee leave records in payroll system and presentable format oSubmit the employee leave records as when required by the mnanagement oMaintain employee leave records report monthly basis Insurance Management oMaintain the Employee Personal and Group Accidental Insurance policies oSubmit the accurate data required for renewal of the policies mentioned above as per the timeline oCo-ordinate with TPA/Insurance Company regarding settling the Insurance claim of an employee and submit the necessary documents as per the timeline.
Data & Reports Management oMaintain & update employee data related to compensation data, personal details and career updates oPrepare Management Information Reports on monthly/weekly or as required basis o Submit the various MIS Reports as per management requestAssist the other team member in their role if required
